Position Description The Counseling Placement and Licensure Assistant supports the Counseling Placement and Licensure Coordinator in activities related to (1) placement coordination for practicum and internship, and (2) management of professional licensure disclosure regulations for the College of Education Counseling Programs. The Counseling Placement and Licensure Assistant will identify, approve, and secure counseling practicum and internships that meet state and CACREP accreditation requirements. This position will prepare a placement orientation for counseling students, provide professional-level support to secure field placements, track practicum and internship data and paperwork, and establish community partnerships for the counseling programs. The position will also maintain and update professional licensure disclosure data for the counseling programs. This work requires strong administrative, information and data management skills, and communication skills.
Essential Job Functions: Practicum and Internship Placement Support (65%)
- Track the student placement process, including reviewing forms submissions.
- Prepare and distribute surveys to students and report on results.
- Prepare presentations to students regarding the placement process, sometimes assisting in delivering presentation materials.
- Contribute to the preparation of professional communications to students, as well as community partners.
- Support Coordinator in the student placement process and clinical training experience, including responding to emails and holding meetings with students (both virtual and in-person).
- Assist Coordinator in supporting faculty supervisors in the preparation and execution of clinical training experience, including accurate record keeping, responding to emails and attending meetings with faculty.
- Assist Coordinator in supporting prospective and current site supervisors and community partners through the vetting and placement processes, and clinical training experience, including responding to site and supervisor emails, attending meetings with potential and current sites and supervisors and preparing orientation material for sites and supervisors.
- Support Coordinator in ensuring clinical placements meet state and national accreditation standards through timely and accurate record keeping.
- Data entry and maintenance of databases for all clinical mental health-based and K-12 partnerships for counseling programs.
- Contribute to the development and maintenance of material in handbooks, LMS shells, web enhanced content and structure.
- Maintain complete and accurate program records to ensure data collection and analysis.
Professional Licensure Disclosure Support (35%):
- Support Coordinator in the creation and maintenance of licensure disclosures for counseling programs.
- Review state statutes and administrative code for educational requirements for licensure.
- Prepare and update licensure disclosure documents for review.
- Reply to prospective and current student queries regarding licensure requirements.
- Prepare presentations to current and prospective students regarding licensure disclosures.
Qualifications - Bachelor's degree plus two or more years of progressively responsible administrative office support experience OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Experience with Microsoft 365, including strong proficiency in Excel, SharePoint and Outlook.
- Experience with data management systems, and other technical software.
- Excellent organizational and communication skills.
- Demonstrated success in a fast-paced environment, working collaboratively, and communicating effectively to promote teamwork, collegiality, and wellness.
Preferred Qualifications - Familiarity with counselor licensure/certification policy and regulations, or state administrative statutes and codes.

Compensation at a Glance Salary Range: $42,900 - $52,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training.
