Job Description
Bemidji State University (BSU) and Northwest Technical College (NTC) invites qualified applicants to join our team as the Warehouse Stores Operation Coordinator .
The Warehouse Stores Operation Coordinator provides central stores services for BSU and NTC, and to support all logistics operations for the campuses. In this capacity, the incumbent sources and distributes goods needed by physical plant staff for the operation and maintenance of campuses, maintains consumable inventory, maintains accurate records, enters appropriate chargebacks, and provides moving service when requested. This position is responsible for providing central receiving and campus delivery services and assisting in the procurement and provision of goods for the operation and maintenance of the campuses. The incumbent must have possession of a valid Class D (basic) driver?s license and pass a driving background check as well as have the ability to pass forklift and powered pallet jack training and trainer certification and keep certification current.
Responsibilities of the Warehouse Stores Operation Coordinator include:
Purchasing.
Purchasing consumable supplies as well as special order goods for BSU and NTC. Purchasing under existing contract and/or regularly obtaining competitive pricing for all supplies ordered, keeping records of quotes and web pricing, and complying with purchasing policies as defined by the State of Minnesota. Placing orders for stock items when inventory levels reach pre-determined re-ordering point and placing special orders for non-stock items upon receipt of authorized written or verbal requests, using available contracts or employing competitive pricing methods. Completing all charge backs to appropriate department cost centers within 3 days of transaction so department budget managers have a clear view of their current budget situation. Percent of Time: 50%
Inventory Control.
Receiving and removing inventory from Workday data base as orders are placed and received. Performing monthly random inventory spot checks on a minimum of 5 items in the warehouse, and 5 items in the janitor supplies area. Performing a yearly physical inventory verification on all warehouse/janitor parts and supplies. Percent of Time: 15%
Filling/Delivering Orders.
Filling supply orders and special orders and distributing to requesters in a timely and accurate fashion, taking all precautions to ensure packages are not damaged in transit. When working with a special order, ensuring that the individual requesting the product is kept apprised of the order status throughout the process. Handling customer and vendor inquiries and complaints. Maintaining all pertinent records for documentation, providing customers and vendors with accurate, reliable, and timely information upon request. Percent of Time: 10%
Communication and organization.
Prioritizing work to ensure warehouse operations function smoothly and efficiently. Hiring, training and assigning work to student workers, guiding them and monitoring results. Updating department website content when necessary. Maintaining and cleaning receiving and delivery equipment and facilities, including snow/ice removal for warehouse approach. Percent of Time: 5%
Receiving.
Receiving product from all carries, ranging from packages, pallets, and large difficult to handle supplies and equipment. Inspecting all deliveries for accuracy and any noted damage, and taking appropriate resolution steps. Logging all deliveries to ensure the warehouse has a paper trail of all deliveries received in case follow up confirmation with date/times are required. Ensuring that material handling safety procedures are followed, and that forklift and powered pallet-jack training certification are kept current. Percent of Time: 5%
Moving.
Providing moving service and assistance for faculty and staff when required. Items to be moved may include, but are not limited to, desks, chairs, file cabinets, etc. Percent of Time: 5%
Inventory Control/verification.
Assisting as needed in the verification of physical inventory of fixed assets and disposing of surplus inventory using approved State of Minnesota processes. Percent of Time: 5%
Performing other duties as assigned by supervisor that fit the skills, knowledge, and abilities of the individual in this position. Percent of Time:5%
Minimum Qualifications
Ability to communicate with customers, employees, and other individuals to answer questions, explain information, take orders, and address complaints. (This requires common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically.)
Ability to compare prices, specification, and delivery dates to determine the best bid among potential suppliers.
Skills in math sufficient to add, subtract, multiply, and divide whole numbers, fraction and decimals, calculate percentages; and use simple formulas.
Ability to use computer and word processing, spreadsheet, email, website, and other software applications to support business operations.
Skill in using computerized inventory management software systems to maintain accurate inventory of supplies.
Must possess and maintain a valid driver?s license and pass a driving history background check.
Ability to pass forklift and powered pallet jack training and keep certification current during employment.
Preferred Qualification
Experience in any of the following areas or in any combination:
Warehouse experience (purchasing, receiving, consumable inventory, stocking, filling orders, etc.).
Procurement experience (researching products and pricing; seeking quotes, issuing RFQ?s and RFB?s).
Delivery experience.
Printing services, including working knowledge of best printing practices and procedures (including equipment, software, and paper products.
Mail handling, including comprehensive knowledge of postal and shipping practices, procedures and regulations; electronic mailing systems; and addressing and barcoding software.
Fixed Asset Inventory operations.
Working knowledge of mechanical, electrical, plumbing, carpentry, and maintenance supply and parts ordering.
Ability to prioritize responsibilities, adhere to established schedules, work under pressure, and meet daily deadlines.

Bemidji State University and Northwest Technical College lie amid the lakes and forests of northern Minnesota. Bemidji State occupies a wooded campus along the western shore of Lake Bemidji while Northwest Technical College lies just three miles east, near Bemidji?s robust industrial district.?
The city sits between Minnesota?s three largest American Indian tribal nations: the Leech Lake Band of Ojibwe, the Red Lake Nation and the White Earth Nation.
