TITLE OF POSITION: Administrative Assistant Part Time/Full Time Schedule

TITLE OF IMMEDIATE SUPERVISOR: Administrator

DUTIES OF POSITION:
working from 8:30 AM - 5:30 PM; Monday-Friday

Greets people, answer the phones and does other clerical duties within the office.

POSITION RESPONSIBILITIES:

• Greets people as they enter the Agency, answers calls, answers general information questions, screens visitors and delivers messages
• Types of memos, correspondence, agendas, meeting minutes and reports as required
• Assists with accounting functions as assigned, e.g., ledger entering account processing, posting payments etc.
• Assists scheduler with patient intakes.
• Distributes bi-weekly paychecks
• Maintains and creates files for the Agency
• Opens and sorts the mail
• Ensures clinical documentation is shredded
• Responds to patient request for clinical documentation.
• Performs other duties as required 
• Maintains cleanliness and orderliness in the office

JOB CONDITIONS:

• Primarily a desk job that involves sitting, standing, stooping and walking, as well as telephone communication.
• It requires minimal lifting of office records and printouts.
• The ability to read 12-point and larger types are required.
• One must be able to hear adequately on the telephone with no more than an amplifier and be able to communicate in English well verbally and in writing. 
• The job requires the ability to utilize a Mac OS, calculator, multi-line telephone, and other related office equipment. 

QUALIFICATIONS:

• Must have a high school diploma.
• Must have a minimum of six months of office experience.
• Should be skilled in all modes of electronic communication.
• Must possess working knowledge of Microsoft Office programs. 
• Must be able to type, transcribe, use a copier to fax, scan to email and copy
